Job Description:

ICF’s International Health and Development line of business is looking for an Administrative Assistant to support the operations of its international development projects.  On our projects we partner with clients to conceive and implement solutions and services that protect and improve the quality of life in developing countries. The focus of this position would be on USAID’s Infectious Disease Detection and Surveillance (IDDS) project located at our Metro-accessible Rockville office. Occasionally, the successful candidate may be required to work from other ICF offices and to visit client sites within the DC-metropolitan area.  

 The Administrative Assistant should be a conscientious team member with good interpersonal skills who communicates effectively both verbally and in writing, is self-motivated, accurate, and efficient in the accomplishment of tasks, is highly organized and able to coordinate the timely completion of competing assignments, takes initiative to find solutions to challenges, has strong Microsoft Office skills (Word, Excel, PowerPoint) and is experienced with technology for communication and knowledge management.

Key Responsibilities:

  • Processing paperwork and tracking processes for subcontractors and consultants
  • Coordinating and processing staff and consultant travel (e.g. itineraries, insurance, visas, billing, approvals)
  • Coordinating internal and external meetings and calls, including arranging conference lines, venue booking, setting-up audio-visual equipment, and arranging catering
  • Taking and disseminating meeting notes
  • Archiving project documents
  • Creating and maintaining SharePoint and Teams sites to support project coordination and knowledge management
  • Supporting project reporting and submission of written deliverables
  • Supporting onboarding for new staff
  • Managing group telephone and e-mail lists
  • Maintaining the staff calendar
  • Photocopying and scanning documents
  • Ordering supplies
  • Completing other administrative tasks as assigned

Basic Qualifications: 

  • Bachelor’s Degree, preferably in an area relevant to international health and development
  • Strong Microsoft Office (Word, PowerPoint, Outlook and Excel) skills
  • 1+ years' of work experience as an Administrative Assistant in an office environment

  • Successful experience working independently and with a geographically diverse team 

Preferred Skills/Experience:

  • Facility with communication technology, e.g.; setting up audiovisual equipment and with technologies that facilitate virtual meetings and communication
  • Fluency and written and spoke French
  • Knowledge and prior experience with SharePoint and Teams
  • Contracting and invoicing experience
  • International and cross-cultural experience
  • 2+ years' related work experience in an office environment
  • Academic achievement as demonstration of ability to manage and produce high quality work
