Senior Public Relations Specialist - Conference and Event Support

Have a passion for managing events? We’re currently hiring a Senior Public Relations Specialist to support a cybersecurity focused organization on the planning, development, and implementation of virtual and in-person meetings and conferences. In this role, you will coordinate major events, conferences, and meetings related to cybersecurity.
Support pre-event planning and post-event evaluation to support clients’s participation in an average of ten (10) third-party conferences annually, to include developing and producing conference/event plans and strategies, securing exhibit and meeting space, coordinating applicable materials (brochures, briefing materials, signage, etc.), developing event staffing plans and after action reports, and providing general logistical support.
Develop concepts and produce materials and products for trade show booths to be used at events, conferences, recruitment fairs, etc.
Manage logistics and deployment of CISA’s booth and supporting materials to ten (10) events, conferences, tradeshows, etc., annually, to include creation or updates to existing structure, set-up, breakdown, storage, shipping, and arranging exhibit support services as needed.
Support virtual conference participation.
Tape pre-recorded speaker sessions.
Produce virtual booth graphics and collateral materials.
Manage interactive features of the virtual conference platform.
Develop and manage external registration pages.
Assist event manager to create an online virtual meeting schedule.
Schedule and coordinate with speakers as needed to assist with technology for their live and recorded sessions.
Coordinate with event manager on agenda and program changes.
Coordinate with event manager to receive registration data, including creating a registration page.
Develop appropriate communications regarding virtual meeting schedule (as needed).
Attend pre and post conference meetings regarding execution.
Provide post conference summary reports (i.e. report number of event people registered/attended event) budget reconciliation.
Provide other services as required to meet client’s specific virtual planning needs.
Assist in developing presentations for meetings and conferences, creating materials for and assembling briefing binders, speaker presentations, booth and exhibit materials, marketing collateral, outreach and communication plans.
Support planning and execution of client hosted events (both virtual and in-person), to include general planning, agenda development, speaker identification, speaker preparation, and material development.
Assist with the logistical aspects of meetings, conferences, and special events to include venue research and event analysis, preparation of invitations, tracking RSVPs and maintenance of participant database, fielding questions about registration and meeting agendas, and researching travel arrangements for meeting planners and speakers.
Prepare, reproduce and distribute conference materials, both digital and physical versions, depending on the event.
Research information about possible room setup, audiovisual equipment, accessibility needs and services, and other on-site meeting needs.
Assist meeting planners on-site work including providing registration support, handling general information, inquiries and requests from speakers and participants, coordinating onsite logistics and transportation requirements, and facilitating troubleshooting of logistics issues and gaps.
Assist in arrangements for video conferences, Web casts, and planning meetings.
Assist with booth design and updating booth graphics.
Currently holds, or is able to obtain, DHS Fitness Determination
BS/BA in Marketing, PR, Communications, or related field.
Minimum of five (5) years’ of demonstrated experience:
- Assisting in the planning for the strategic direction and development of a comprehensive PR campaigns.
- Working with client and project team members.
Preferred Skills and experience:
Excellent communication skills, especially written.
Strong research and organizational skills
PR agency, corporate or government agency experience preferred.
Self-starter, with ability to manage tasks and handle multiple priorities with minimal supervision.
Job Location(s): This position is located in Arlington, VA but is currently remote/telework through the Covid-19 pandemic until federal employees in the Capital Region are recalled back to the office.
