Project Support Coordinator (OH, MI or IN remote))

ICF's Child Welfare and Education Line of Business is currently seeking a Project Support Coordinator. In this role, you will apply your academic knowledge and work/internship experience to gain exposure to major technical assistance projects related to K-12 education. You will be involved in providing coordination and administrative support to implement our communications plan by overseeing the content and branding of our project website and other materials. You will help ensure the program achieves deliverable goals through report and other written product development (tracking products through the editorial, design, layout, and compliance process), meeting and logistical support, and development and implementation of operational processes. The successful candidate will have broad knowledge of areas such as project coordination, website best practices, program support, protocol development, event planning, and business processes. This position will contribute to projects for  a variety of federal, state, and local agencies and foundations, but primarily for the Region 8 Comprehensive Center (www.region8cc.org) (the Center).

The position is full-time for someone willing to work remotely, ideally located in the region at a home-based office in Ohio, Michigan, or Indiana. 

Key Responsibilities

You will immediately assume active roles on project teams and will quickly gain responsibility commensurate with your success in the position. Candidates must be able to manage multiple tasks with competing deadlines; be well-versed in program support strategies and approaches; have excellent written and verbal communication skills; be able to maintain positive relationships with clients and colleagues; and pay close attention to detail to ensure the highest quality of service delivery.

Areas of responsibility will include:

Program Support

  • Act as centralized support for any program or urgent needs related to assigned tasks

  • Support project directors and staff by anticipating needs and sharing information from other service areas

  • Draft policies and procedures, and track revisions of policies and procedures (ongoing maintenance of operations manual)

  • Maintain existing spreadsheets related to contact information for staff and stakeholders and develop new lists as needed

  • Prepare reports for the use by Center leadership team

  • Assist with Center quality assurance activities

  • Identify efficiencies and proactively develop new methods for effective achievement of deliverables

Communications and Website Support

  • Support the communication efforts for the Center as well as communication efforts between various internal teams

  • Produce content for the Center website to keep content current

  • Develop knowledge of the Comprehensive Center Network and systems to inform content and respond to staff and stakeholder needs

  • Support website content management including posting resources, initiative descriptions, reports, and other information using a Content Management System (CMS) such as Drupal, designing/coding web pages (basic HTML), and data review/analysis

  • Draft and send newsletters and other communications using Mailchimp

  • Support website development including drafting requirements for new functionality, drafting wireframes, troubleshooting issues/bugs, testing website functionality, supporting usability testing, and coordinating with web developers

  • Assist with developing and preparing written and web products, training materials, or other deliverables to clients

  • Draft and edit some content for clarity, readability, and effectiveness

  • Respond to user and client inquiries with a customer service-focused attitude

  • Develop and maintain protocols, templates, and tracking tools

  • Track report and other written products through the various phases of  development (editing, design, layout, and compliance)

Project Management Support

  • Facilitate meetings using ICF-approved platforms, including but not limited to MS Teams, Zoom, and Mural

  • Draft meeting materials, including agendas and minutes.

  • Schedule, prepare for and conduct follow-up associated with various meetings

  • Coordinate scheduling and logistics for events, including researching locations, as needed.

  • Provide evaluation technical assistance webinar support including training material development and background system support (e.g., in Microsoft Teams, Zoom)

Qualifications

Basic Qualifications:

  • Bachelor's degree in Education, Communications, Public Policy, or related discipline required.

  • 1 year of experience in website content coordination, resources or publications this can be done through internships or projects.

  • Demonstrated experience in producing high-quality, professionally written products.

  • Experience and comfort communicating about complex technical issues—by phone, email, meetings, webinars, and/or in-person presentations.

  • Strong interest in topics such as K-12 education, educator development, and diversity and equity issues.

  • Willingness to travel occasionally for face-to-face conferences or meetings.

  • Strong ability to multi-task.

Professional Skills:

  • Proficient in Microsoft Office Applications (e.g., Word, PowerPoint, Outlook, Excel), as well as Microsoft Teams 

  • Proficient in HTML (basic) and using content management systems (CMS) for website content editing (e.g., Drupal)

  • Excellent verbal, oral, interpersonal, and written communication skills

  • Strong team player with the ability to take initiative and work well independently.

  • Superior attention to detail and the ability to meet deadlines.

  • Strong analytical, problem-solving, and decision-making capabilities.

  • Strong ability to prioritize and manage multiple activities simultaneously in a fast-paced, changing environment.

  • Positive outlook when faced with adversity.

  • Excellent problem-solving skills with the ability to analyze situations, identify existing or potential problems, and recommend solutions

  • Excellent communication skills with the ability to tailor communications for the web and to people with varying levels of technical understanding

  • Outstanding customer service skills with the ability to remain cool under pressure and possessing a no-problem-too-big-or-too-small attitude

  • Excellent copy editing and QA/QC skills
