Project Coordinator-Remote

ICF is seeking a Project Coordinator to the Children and Youth Portfolio and support a variety of federal projects focused on children and youth. The coordinator will primarily support the Children’s Bureau, OJJDP, and ORR projects in the portfolio. As Project Coordinator you will be responsible for supporting project teams and leadership on a variety of technical assistance efforts including support to jurisdictions as well as provide assistance for onsite and virtual meetings and events, and other key project tasks.

This position is remote within the Washington, D.C. and Fairfax, VA area (DMV).

The Project Coordinator will work in partnership with project leaders to support teams, clients, and jurisdictions to coordinate efforts to build capacity, implement program improvement strategies, and improve child welfare outcomes for children, youth, and families. The successful candidate will have excellent organizational, time management, and coordinating skills, an eagerness to learn and engage with different groups, excellent organizational skills, and the ability to be flexible and adaptable.

This role provides exposure to multiple clients and projects, impactful national-scale programs and it will provide you with growth opportunities to build skills in events planning, project management and other consulting services.

Key Responsibilities:

  • Coordinating virtual and onsite meeting; attending meetings, taking notes, and synthesizing information
  • Coordinating schedules amongst a large team, ensuring no overlaps of meetings and that all necessary people are invited and are given any information needed in preparation for meetings
  • Involvement in project specific budget development and tracking activities
  • Maintaining knowledge about CB and other projects, service delivery, and the work across special projects.
  • Executing and coordinating project tools/plans for initiatives as assigned
  • Work closely with project management team and leadership in collaboration with states, jurisdictions, and territories to apply project tools to improve project functioning
  • Troubleshoot other areas of efficiency and effectiveness from a project perspective with the Project Manager and team
  • Contribute to regular project reporting and support all activities related to the project’s execution including evaluation activities like data collection and continuous quality improvement efforts
  • Communicating with a large team on a daily basis in a professional, respectful, and timely manner
  • Provide onsite support for meetings and events as needed
  • Coordinating materials including packing, shipping, and setting up exhibit booths onsite
  • Print materials including name badges, tent cards, agendas, and other materials for onsite meetings and events

Basic Qualifications

  • 3+ years’ experience with:
    • Project coordination experience, including client relationship management and team management in a contract consulting environment
    • Experience developing project plans, tracking deliverables, and costs under scope of work
    • Working in a fast-paced environment with a variety of competing priorities
  • Proficiency with MS office applications (i.e. Word, Excel, and PowerPoint)
  • Ability to travel to meetings and events within the DMV area

Preferred Skills:

  • Bachelor’s degree in human services, social work, public administration, or related field
  • Background in child welfare and child welfare systems (this includes employment in child welfare/social services and/or lived experience with the child welfare system)
  • Knowledge and experience executing and improving processes
  • Demonstrated ability to communicate and partner with other team members
  • Proficient with virtual technology platforms like MS Teams and Zoom
  • Experience with event planning to include small and large meetings, scheduling and conferences
  • Certifications in Event Planning and/or Project Planning.

Professional Skills:

  • High quality control skills with superior attention to detail and the ability to meet stringent deadlines
  • Ability to be flexible, multitask, prioritize, and manage multiple activities simultaneously in a fast-paced, changing environment
  • Exceptional project coordination skills, with a focus on technical assistance projects.
  • Strong analytical, problem-solving, and decision-making capabilities.
  • Excellent verbal, interpersonal and written communication skills.
  • Demonstrated, outstanding level of professionalism in providing administrative support, including ability to exercise good judgment, discretion, tact, and diplomacy.
  • Proficient with MS office applications (i.e. Word, Excel, and PowerPoint)
  • Proficient with virtual technology platforms like MS Teams and Zoom
