Project Assistant

ICF’s International Health and Development line of business is looking for a Project Assistant to support the operations of its international development projects.  On our projects we partner with clients to conceive and implement solutions and services that protect and improve the quality of life in focal countries. The focus of this position would be on USAID’s Infectious Disease Detection and Surveillance (IDDS) project located at our Metro-accessible Rockville office, though is presently home-based due to COVID-19. Occasionally, the successful candidate may be required to work from other ICF offices and to visit client sites within the DC-metropolitan area.  

 The Project Assistant should be a conscientious team member with good interpersonal skills who communicates effectively both verbally and in writing, is self-motivated, accurate, and efficient in the accomplishment of tasks, is flexible when faced with change, is highly organized and able to coordinate the timely completion of competing assignments, takes initiative to find solutions to challenges, has strong Microsoft Office skills (Word, Excel, PowerPoint) and is experienced with technology for communication and knowledge management, including Teams and SharePoint. The preferred candidate has the potential to learn quickly, growing to provide support as needs arise across an evolving project.   

Key Responsibilities:

  • Processing paperwork and tracking processes for subcontractors and consultants
  • Coordinating and processing staff and consultant travel
  • Coordinating internal and external meetings and calls, including arranging conference lines, venue booking, setting-up audio-visual equipment for in-person and virtual events, and arranging catering
  • Taking and disseminating meeting notes
  • Archiving project documents
  • Creating and maintaining SharePoint and Teams sites to support project coordination and knowledge management
  • Supporting onboarding for new staff and orienting new staff on IDDS technology platforms (SharePoint and Teams)
  • Supporting project reporting and submission of written deliverables
  • Managing group telephone and e-mail lists
  • Maintaining the staff calendar
  • Photocopying and scanning documents, ordering supplies, and completing other administrative tasks as assigned
  • Providing coordination support to country programs as needs dictate and regular duties allow  

Basic Qualifications: 

  • Bachelor’s Degree, preferably in an area relevant to international health and development
  • Strong Microsoft Office (Word, PowerPoint, Outlook and Excel) skills
  • 1+ years' of related work experience in an office environment

Preferred Skills/Experience:

  • Facility with communication technology, e.g.; setting up audiovisual equipment and with technologies that facilitate virtual meetings and communication
  • Knowledge and prior experience with SharePoint and Teams
  • Contracting and invoicing experience
  • Experience with document submission to USAID’s Development Experience Clearinghouse (DEC)
  • Fluency in written and spoken French
  • International and cross-cultural experience
  • 2+ years' related work experience in an office environment
  • Academic achievement as demonstration of ability to manage and produce high quality work
