Project Accounting Assistant

We are currently hiring for 3 full-time Project Accounting Assistants in our Minneapolis, Chicago or Toronto offices.
ICF Next is a professional services firm where all transactions are maintained at a contract level and it’s equivalent project number within our system. As a Project Accounting Assistant you will be responsible for supporting all project related transactions during its lifecycle which include but are not limited to:
Project Setup - Ensure all appropriate steps are fulfilled for setting up a project once all documentation has been received (i.e. scope of work).
Project Modifications and Maintenance – Ensure projects are maintained and modified as needed across both time and expense charging nodes.
Intercompany work orders - Ensure intercompany projects are setup between systems and legal entities accurately and timely.
Timekeeping - Ensure time is being recorded properly and in accordance with time keeping policies. Partner with project managers and employees to correct and move time as needed.
Partner with billing specialists and project managers to ensure timely invoicing and processing per the terms of our contracts.
Monitor and follow up on past due receivables.
Assist with purchase order requests for 3rd party vendor spend.
Review, code and submit all invoices to Accounts Payable for 3rd party vendor spend, production costs, and other media related costs.
Partner with project managers and AP to reclassify expenses as needed
Collaboration: Interact with other departments, such as Contracts, Accounting, Billing, Accounts Payable, Project Set-up and Project Management all to aid in the facilitation of our process across these groups.
As a Project Accounting Assistant you are:
A People person, you connect with people instantly! You are able to effectively communicate your approach/vision to all stakeholders, including project team and Finance
Tech Savvy, you enjoy the challenge of learning a new system and can absorb the information quickly. You have a good understanding of Microsoft office, with an emphasis on Excel.
Solution oriented, you tackle problems with vigor and solve them with a systematic approach in partnership with colleagues in other departments.
Attention to detail, you pride yourself in getting through a high volumes of tasks while ensuring a high level of accuracy.
A Multitasker, you have perfected the art of navigating an ERP system, writing an email and eating at the same time. Time is of the essence, particularly during the month end close process.
Well Organized, you know where everything is at all times, things happen fast and you are always prepared.
You will also have:
Experience with Deltek/Costpoint is a plus
Bachelor’s degree in Accounting/Finance/Business with 1-2 years experience, or 5+ years of equivalent experience in lieu of a Bachelor’s degree.
Ability to work independently as well as in a team setting
Excellent communication and organization skills
Ability to travel up to 10% of the time.
