Program Implementation & Events Assistant - Federal Energy Efficiency Programs (Arlington, VA)

Energy and Sustainability Program Assistant for Federal Energy Efficiency and Climate Protection Programs (early talent opportunity!)


ICF is seeking an outgoing, detail-oriented, self-motivated candidate to help clients implement their energy-efficiency, decarbonization, and sustainability programs.  Successful candidate of this entry level position will support important program initiatives to facilitate stakeholder engagement, build brand awareness, and assure efficient implementation of an important federal public private partnership. Key responsibilities relate to event planning, logistics coordination, and program administration.

Specific tasks may include, but are not limited to:

  • Provide substantive logistical planning support on high-profile stakeholder annual events and webinars for ICF’s federal client

  • Establish and manage project schedules and adhere to task deadlines

  • Participate and lead weekly planning meetings with client, including preparing the agenda and sending post-meeting notes

  • Create and edit partner outreach materials such as reporting forms, applications, and targeted stakeholder correspondence, provide oversight of graphic design materials

  • Provide critical data management support, updating project databases and other tracking systems with new program information as needed

  • Update and maintain various program website pages and send mass communications related to program and event development

  • Communicate with internal subject matter experts via written materials and meetings to promote knowledge sharing, consistency of approach, and cross-collaboration

  • Develop and implement compliance and brand integrity strategies, initiatives, and tools in a rapidly changing environment

  • Create clear, compelling messaging to communicate with a wide variety of audiences about program initiatives, data trends, or implementations progress

  • Identify and implement creative opportunities to streamline administrative processes

Minimum Qualifications:

  • Bachelor’s degree in a relevant area of study such as communications, business, environmental studies, physical/natural sciences, economics, or public policy

  • High level of proficiency in MS Office Applications (Excel, Word, PowerPoint, Outlook)

  • Ability to successfully manage shifting priorities and handle numerous time-sensitive projects with various deadlines

  • Interest in energy efficiency, sustainability, or environmental and climate programs and policy

Preferred Skills/Experience:

  • Methodical/logical thinker with a good ability on grasping bigger picture

  • Experience supporting stakeholder events, outreach, and management

  • Experience working with internal and external stakeholders

  • Experience designing or implementing quality control or quality assurance programs

Professional Skills:

  • Careful attention to detail and superior quality control

  • Excellent communication and interpersonal skills with experience supporting highly visible projects

  • Proven problem solving-skills and decision-making capabilities; adept at analyzing situations, identifying existing or potential problems, anticipating potential outcomes, and recommending solutions

  • Demonstrated customer service orientation and outstanding level of professionalism

  • Team player with the ability to work in a fast-paced environment

  • Sound business ethics, including the protection of proprietary and confidential information

  • Ability to work with all levels of internal staff, as well as outside clients and vendors

  • Ability to apply detailed knowledge of organizational procedures to make independent decisions and serve as a credible resource for a senior management team
