We are looking for an Office Manager to support our Baton Rouge office and the disaster recovery work conducted there. This includes serving as the main point of contact for the office, overseeing the logistics and operations of the space. This position will also have a limited role in supporting the administrative functions of the project.

This is a full-time benefits eligible position and hybrid based out of our Baton Rouge, LA ICF office.
You will:
Coordinate the administrative activities of an office
Oversee opening, sorting, and routing of incoming and prepares for outgoing correspondence, mail and packages
Coordinate the receipt, storage and issuance of stationery and office supplies; oversees periodic inventories and reorders items as required
Act as the first point of contact for internal facilities issues, and logs all maintenance, cleaning and office/location services and refers related issues to the appropriate personnel
Regularly interact with colleagues within the immediate organization
Serve as the main point of contact for onboarding new hires into the office and ensure they have the supplies and equipment they need
Manage the visitor badge and parking passes and information
Provide clerical support to the project as needed
Provide reporting support as needed
Maintain physical and electronic records
Support the maintenance of the project team site
Troubleshoot and support IT and equipment needs
Serve as the health and safety coordinator for the office
Process expense reports
Supports other duties as assigned
Minimum Qualifications:
High school diploma
4 + years of office management and administrative support experience
Proficiency in Microsoft Office (including Word, PowerPoint, and Excel)
Proficiency in database entries, SharePoint file depositories, with an ability to become familiar with project-specific programs and software
Demonstrated office operations and project administrative experience
Professional Skills:
Strong organizational, prioritization, multitasking, and planning skills, as you will be working on a wide range of topics and tasks simultaneously.
Excellent interpersonal and communication skills
A professional demeanor, flexible outlook, and positive attitude, even while working in a fast-paced environment
