Executive Assistant | HYBRID

ICF has an immediate need for an Executive Assistant to provide support to the Division Leader and Executive Team – a team of six - for our division focused on health and international development programs. This full-time position will be responsible for a variety of administrative duties.

The position is a hybrid role and on-site work will be conducted in Rockville, Maryland. Hybrid work typically entails 2-3 days of work in the office and the remainder at a remote location.

Primary Responsibilities:

  • Serve as gatekeeper and point-of-contact for the Division Leader, modeling utmost confidentiality and professionalism.
  • Serve as general resource for Division Leader; research problems and resolve issues as necessary. Lead division event planning and coordination as needed. Including in person and virtual events. As requested, develop agendas, attend team meetings, collect notes and action items, and send follow-ups to team members. Maintain and manage calendar, appointments, and calls for the Division Leader. Resolve calendar conflicts and manage other operational requests.
  • Coordinate travel arrangements for Division Leader including transportation and accommodations, based upon consultation with corporate travel agents and consistent with corporate guidelines.
    • Prepare tentative travel plans and suitable alternatives for approval by Division Leader.
    • Track Division Leader travel and meeting activities for expense purposes. Generate expense reports.
  • Maintain and continually develop a solid understanding of organizational operations, policies, procedures, regulations, and internal service resources to better anticipate needs and requests.
  • Work flexibly with division staff to manage and expedite operations, partnering collaboratively with internal services.
  • Serve as a point of contact for the health division and go-to resource for the internal health division executive team and for other ICF divisions, groups, and corporate units.

Secondary Responsibilities:

  • As requested and available, provide the services and supports above to other members of the Division Executive Team

Basic Qualifications:

  • Advanced degree (Associate's or Bachelor's)
  • 3+ years of experience supporting senior leadership or executive-level role
  • 3+ years of experience supporting and handling details of a highly confidential and critical nature
  • 3+ years of experience in MS Office (Word, PowerPoint, Outlook, and Excel)
  • 3+ years of experience working with geographically dispersed teams

Strongly Preferred Skills/Experience:

  • Strong professional communications skills - written as well as verbal/oral
  • Ability to take initiative and work independently and appropriately prioritize tasks and supports
  • Ability to work with and demonstrate a sense of urgency in all aspects of work
  • Experience with MS SharePoint, Mural, and Workday

Professional Skills:

  • Demonstrate success supporting a demanding, executive team with a positive attitude
  • Proven ability to manage overscheduled calendars through the use of Outlook & TEAMS; including the judgment to screen meeting and message requests to determine appropriate priority level
  • Analytical thinker who can identify and weigh different options for solving problems and then make an independent decision on how best to resolve issues
  • Self-Starter with strong motivation to succeed
  • Strong background and expertise in utilizing organizational skills including attention to detail and ability to prioritize to work within deadlines; diplomatic and strategic with multi-tasking; problem solver, project manager, and ability to work independently
  • Able to partner with matrixed teams and leadership across a variety of lines of business
