What you will do:
You will oversee facility-related purchasing and procurement functions including cost coding and invoice approval processing.
Vendor Management – Oversee Office & Ergonomic Supplies, Breakroom Services, Stationary and Off-Site Print Services
Verify vendor accounts with Finance/Accounting, reconcile monthly reports and statements
Work with vendors to ensure that accounts are being regulated and all documentation and reporting are in place
Review Purchase Orders/Contracts for vendors
Invoice review, coding of invoices, approvals, and process for payment
Implementation and development of Policies, Procedures and Work Instructions
Assist with Repro Print Shop purchase/leases, maintaining cost data for review on SharePoint
Capital Expenditure orders and tracking and reconciliations for budgeting and forecasting
Assist with Projects/Buildouts, maintaining budgets and OneNote/Planner updates
Management Reporting, Create and maintain custom reports as needed, combining data sources into a single report
Prepare purchase requisitions to initiate payment under contracts; submits related invoices for contract period.
SharePoint – maintaining all documents
Establish and maintain cooperative working relationships
What you need (Minimum Qualifications):
2+ years of related experience in a Vendor Management capacity where you negotiated vendor contracts and processes
Local to the Fairfax office location as being on-site will be required once pandemic related restrictions are eased
High School Education
Advanced proficiency in Microsoft Office Excel and SharePoint
Intermediate proficiency in Microsoft Office Suite
