Bid Coordinator

About the role

We are looking for a candidate with great communication skills, and a proven ability to collaborate with individuals and teams.

  • Reviews client procurement site for updates during the bid period together with the Bid Coordinator; coordinates the submittal of questions for clarification by the client.
  • Responsible for liaising with CBS staff following submittal of the Request for Support Form (with all ITT/request documents) and receipt of resulting “ITT Review” Summary.
  • Establishes & maintains the Bid Plan, communicating the bid structure and specific instructions and briefs to all relevant parties.
  • Monitors the progress of the bid via regular meetings and reporting (including alerts and action points):
    • Reports on bid progress to the Bid Team Leader; escalates concerns re. internal bid viability as appropriate.
    • Continuously checks resourcing throughout bid process.
  • Following bid submittal: Initiates and reports on bid-specific Lessons Learned and contributes to the Continual Improvement practice; ensures fulfilment of BD knowledge management responsibilities.
  • First point of contact for post-submission clarifications from the client, and responsible for managing the clarification.

On large, complex bids, coordinates & facilitates logistical & compliance support to the Bid Manager, e.g.,

  • Identification, selection and management of activities related to CVs, company information, project references, etc. (aka, the “administrative requirements” portion of our submittal);
  • Tracking teaming and collaborating with partners and/or subcontractors for their comparable administrative parts of the bid;
  • Planning, communicating & tracking content/writer availabilities; and centralised support towards desktop publishing and graphics;
  • Keeping the Bid Plan calendar; preparing meeting agendas and disseminating material; alerting Bid Manager of potential concerns.

Required experience

  • 0-2 years experience in Business development/bid work.

  • Used to working to tight deadlines with strong attention to detail

  • Stays calm under pressure, with excellent communication, relationship-building and organisational skills
