Administrative Assistant

The Disaster Management division works with government agencies and communities to design and implement policies and programs to promote increased resilience to disasters and to promote long-term recovery in housing, economic revitalization, and infrastructure after disaster strikes. Our functional expertise is in program management, technical assistance, training, performance measurement and evaluation, website development, and adult learning. Clients include HUD, HHS, and USDA among others. We often work in close collaboration with ICF experts across the firm on issues related to energy efficiency and green building, infrastructure, disaster planning and recovery, financial literacy, job training, and others. All work is done in a professional, collegial, and intellectual environment that allows individuals pursue their passions and generate results.

In response to ICF's Disaster Management growth, we are currently seeking an Administrative Assistant to join us immediately. This is a full-time benefits-eligible position located in our new office space in Cupey, Puerto Rico.

As an Administrative Assistant you will:

•    Perform a variety of responsible, confidential and complex administrative and organizational functions
•    Work on multiple projects, often juggling priorities and working with tight deadlines
•    Support team with greeting homeowners visiting the office for appointments and general information.
•    Assist with calendaring and scheduling appointments and meetings
•    Assist case managers with uploading applicant documentation into the system of record
•    Assist with managing office supply inventory and assist team members with office and travel logistics
•    Gather/organize agendas for meetings. 
•    Gather/organize information on project activities and for reports.
•    Support project management team with logistics, ICF corporate coordination, invoicing and other duties
•    Distribute materials, catering and logistical coordination for business and in-house client visits•    Create and edit correspondence documents, reports and presentations using Excel, PowerPoint and Word

Basic Qualifications:
•    Bilingual Spanish and English
•    Current residence in Puerto Rico
•    Proficiency in Microsoft Office - Word, PowerPoint, Outlook and Excel with strong keyboard skills•    5+ years of experience as an administrative assistant

Professional Skills:

 •    Strong organizational skills, ability to prioritize, work under pressure, juggle multiple tasks, organize time effectively•    High level of accuracy and discretion

•    Excellent interpersonal and communication skills

•    Flexibility of schedule and able to work in a fast-paced environment
