Senior Project Coordinator

ICF is seeking a Project Administrative Assistant /Project Coordinator to support our National Institute of Health (NIH) client located in Bethesda, MD (with remote flexibility due to COVID-19). This position provides support for the NIH Office of the Chief Information Officer (OCIO), Information Security (InfoSec) Program.The InfoSec Program protects the agency’s information and its assets, oversees cybersecurity policy and related functions, including operational activities 24 hours a day, 365 days a year.  As part of a team, the candidate will support the client by providing operational support across several administrative task areas within the InfoSec Program.

Key Responsibilities:

This position will support a variety of general administrative, office management, and project coordination duties, to include, but not be limited to:

Manage the onboarding and offboarding process, to include:

  • Assist with on-boarding and offboarding of federal and contractor staff
  • Creating checklists and utilizing a tracking mechanism to ensure all tasks are completed successfully
  • Providing weekly status update reporting to leadership
  • Ensure the workforce understands various onboarding/offboarding scenarios (federal, contractor, intern, pathway, remote, collaborators, etc.)
  • Develop and maintain workflows and reference materials to maintain institutional knowledge
  • Provide property management support of laptops and peripheral devices
  • Create, maintain and update various distribution lists

Coordinate data call requests, to include:

  • Assess data call requirements and map out strategy for collecting information
  • Coordinate kickoff meeting with stakeholders
  • Develop data call template, instructions and email correspondence
  • Track, analyze and develop NIH official response

Provide meeting logistics support, to include:

  • Schedule, planning, and support logistics for weekly, monthly and semi-annual meetings (setup/cancel/modify invites, send reminders)
  • Develop and track the production of meeting content
  • Initiate and monitor VTC (WebEx, Skype, Zoom)
  • Schedule and coordinate  guest speakers
  • Documenting minutes (including attendance tracking) and action items
  • Print/distribute materials

Basic Qualifications

  • Bachelor's degree with a minimum of 5 years program/project support or administrative experience
  • Demonstrated experience supporting IT security programs
  • Proven experience with office operations and meeting support

Professional Skills/Experience

  • A very strong eye and attention to detail to ensure external communications are direct, succinct, and free of grammatical errors
  • Exceptional collaboration and consensus building skills
  • Ability to work independently, yet maintain close communication and collaboration with federal leaders
  • Proactive, detailed-oriented, independent and fast learner with excellent problem-solving skills with ability to analyze situations, identify existing or potential problems and recommend solutions
  • Proven experience in effectively prioritizing workload to meet deadlines and work objectives
