A team of consulting professionals in Washington, DC is seeking an intermediate-level executive assistant, to perform a wide variety of tasks to support leadership of our Climate, Energy Efficiency & Transportation (CEET) Line of Business (LOB). We need a self-starter with an interest in working across teams, providing essential administrative services to senior staff. This role will require support for to a limited set of senior executives to help with such activities is leadership meetings, calendar management, and intermediate level document, presentation, and data management. We are looking for intermediate skills in Excel, Word, Power Point, and Outlook, and excellent communication skills and ability to thrive in a fast paced environment.

Key Responsibilities:

This position will support a variety of general administrative, operations, and personnel processing support duties, in support of a small number of senior staff, including, but not limited to:

  • Administrative tasks:
    • Complete expense reports for selected senior staff
    • Organize electronic files
  • Use of Word, Excel, and PowerPoint
    • Collate information from several authors to combine into documents
    • Format proposal documents using consistent templates
    • Format resumes
    • Create PowerPoint presentations using input from several authors, apply consistent template
    • Track expenditures data for business travelers, related light quantitative data collection
  • Communication tasks
    • Prepare weekly and monthly meeting agendas, logistics, and follow-up activities
    • Manage one or two staff calendars
    • Prepare and distribute monthly update emails to all hands
  • Proficiency in Word, Excel, Power Point, Outlook and other administrative systems

Qualifications:

  • Bachelor's degree in Management, Communications, Human Resources, Business Administration or related field
  • 5+ years of relevant work experience
  • Demonstrated experience performing general administrative and senior staff support duties in an office setting. 
  • Intermediate/Advanced experience with MS Office suite
  • Strong organizational and interpersonal skills with the ability to work as part of a diverse team.
  • Strong verbal and written communication skills 
  • Ability to work independently, yet maintain close communication and collaboration with senior staff
  • Proactive, detail-oriented, independent, and fast learner with excellent problem solving skills with ability to analyze situations, identify existing or potential problems, and recommend solutions
