The DSPR Planning Coordinator is responsible for assisting the DSPR resources planner and head of Department in planning resources allocation for the 3 teams of the department (Public Relations, Social Media and Editorial), via the use of specific tools, identifying available internal and external resources for specific projects’ deliverables and reporting on resources analysis at department level. He/she will ensure sound planning is happening throughout the lifecycle of complex projects based on the respect of tight budget. He/she will actively contribute to the coordination of project managers’ and delivery oriented teams on a project basis. Finally, he/she will also provide analytical data to build a consolidated overview on resources for senior colleagues.
Help in planning DSPR resources ( around 50 people) based on weekly meetings with DSPR experts;
Organise and conduct weekly meetings with team experts to discuss projects status and planning as well as potential issues and risks related to projects (workload, deadlines and costs);
Encode staff allocation in People Planner;
Liaise with Resource Planner to re-adjust the planning throughout the projects;
Ensure tasks are on track within agreed timing and budget by clearly communicating framework to experts;
Anticipate and flag any deviation from agreed plan and budget to Resource Planner;
Develop a good understanding of the DSPR different types of expertise;
Issue POs according to company guidelines and liaise with procurement team when needed.
